Product

The product is a client’s WordPress website and an order form that is integrated with it. The website is aimed at helping a client deliver an effective, seamless, and ethical monument ordering experience for the customers, leveraging modern technologies and eliminating any unnecessary paperwork.

Goals and objectives

  • Consolidate All Customer Data in a Single Place: Before reaching out to SPD Technology, the customer managed their orders and payments using email, Excel spreadsheet, and Notepad so the first goal was to enable business process management using a single tool.
  • Automate Shipping Info Tracking: Streamline the process of tracking and managing shipping information to enhance the efficiency of order fulfillment. 
  • Develop an Invoicing Feature: Move from paper document invoicing to digital invoicing for increased efficiency and accuracy. 

Project challenge

  1. Inefficient Workflow:
    Introduce a CRM system to digitize and centralize all business-critical tasks as the client was manually managing all users, order tracking, and finances using a combination of Microsoft Excel, notepad, and email.
  2. Simplify Order Placement:
    Minimize the number of steps required to complete the order for the customer, offering a simple, clear, and ethical flow.

Solution

To kick off the development of the project, our team decided to use WordPress, a popular open-source Content Management System (CMS) to create a custom website. This CMS provides a user-friendly interface and supports a vast ecosystem of plugins and themes for customization, that aligns perfectly with the business needs of our client.

As for CRM systems, we considered well-known options, such as Salesforce, HubSpot, Pipedrive, Zoho, and ActiveCampaign, and after some research ended up with Zoho CRM. In addition to being an easy-to-operate system for non-technical salespeople, it became a one-stop choice because of its budget-friendliness. Zoho CRM also has a very simplistic and user-friendly interface while providing complete finance and warehouse capabilities in one place, which is perfect for our goal to centralize all customer data.  Using Zoho CRM, the client can manage leads in one place, plus have free access to a Zoho mobile app for effective issues management on the go.

At the next step, the team from SPD Technology prepared an order and invoice templates, to allow the client to use them in an easy and fast way. We configured the dashboard to display customers’ personal information, total deposits per customer, balance reminders per invoice, and total outstanding accounts receivable.
